Job description

The Schedule Coordinator is responsible for managing and coordinating patient appointments to ensure efficient daily operations within the healthcare facility. This role serves as a key point of contact for patients, providers, and administrative staff by maintaining accurate schedules, optimizing provider availability, and delivering excellent customer service. The Schedule Coordinator supports patient care by ensuring timely scheduling, maintaining accurate records, and adhering to all privacy and compliance standards.

Job requirements

Essential Duties & Responsibilities

  • Coordinate and schedule patient appointments across multiple providers, departments, and locations.

  • Confirm, reschedule, and cancel appointments while communicating professionally with patients and staff.

  • Maintain accurate patient records and appointment details within electronic health record (EHR) systems.

  • Monitor provider schedules and assist in optimizing appointment availability and workflow efficiency.

  • Collaborate with clinical and administrative teams to resolve scheduling conflicts and accommodate urgent requests.

  • Assist patients with appointment-related questions, insurance verification, referrals, and preparation instructions.

  • Generate and distribute daily schedules, reports, and appointment updates to healthcare teams.

  • Ensure compliance with HIPAA regulations and organizational policies regarding patient confidentiality.

  • Identify scheduling concerns, patient complaints, or workflow issues and escalate appropriately.

  • Provide exceptional customer service while maintaining professionalism in a fast-paced healthcare environment.

Preferred Qualifications

  • Associate degree or higher in Healthcare Administration or a related field.

  • Knowledge of medical terminology and healthcare insurance processes.

  • Proficiency in Microsoft Office Suite and office productivity tools.

  • Bilingual skills, especially Spanish, preferred.

Work Environment

  • Office and healthcare facility setting.

  • Frequent interaction with patients, providers, and administrative staff.

  • Prolonged periods of sitting, phone communication, and computer use.

  • Flexibility with scheduling may be required based on operational needs.

Minimum Qualifications

  • High school diploma or equivalent required.

  • Previous experience in scheduling, customer service, or administrative support, preferably in a healthcare setting.

  • Familiarity with electronic health record (EHR) systems and scheduling software.

  • Strong organizational, communication, and interpersonal skills.

  • Ability to manage sensitive patient information with confidentiality and professionalism.
